- To match you with accountants (Contract / Legitimate Interests): We share your name, contact details, location, and service requirement with up to three accountants in our network who are best suited to your enquiry. This is the core service you requested.
- To respond to your enquiry (Legitimate Interests): We may contact you by phone or email to confirm your enquiry details or provide updates on your match.
- To improve our service (Legitimate Interests): We analyse aggregated, anonymised usage data to understand which pages and services are most used, and to improve our matching process.
- To comply with legal obligations (Legal Obligation): We may retain records of enquiries as required by applicable UK law.
- Marketing (Consent): We will only send you marketing emails if you have explicitly opted in. You can withdraw consent at any time by clicking “unsubscribe” in any email or contacting us directly.
4. Who We Share Your Data With
We share your personal data with the following categories of recipients:
- Network accountants: We share your enquiry details with up to three qualified accountants in our Harrow network who match your requirements. Each accountant operates as an independent data controller once they receive your details and their own privacy policies will apply to any ongoing engagement.
- Service providers: We use Google (Google Sheets / Google Workspace) to store and manage enquiry submissions. Google acts as a data processor on our behalf under appropriate data processing agreements. Your data is stored on EU/UK servers where applicable.
- Analytics providers: We use Google Analytics 4 to understand website traffic. This involves transferring anonymised usage data to Google. You can opt out of Google Analytics tracking via your browser settings or by using the Google Analytics Opt-out Browser Add-on.
We do not sell, rent, or trade your personal data to any third party for their own marketing purposes. We do not share your data with data brokers or lead aggregators.
5. How Long We Keep Your Data
- Enquiry data (name, email, phone, service request): retained for 12 months from the date of submission, then securely deleted.
- Analytics data: retained by Google Analytics for 14 months in accordance with our configuration settings.
- Legal/compliance records: retained for as long as required by applicable UK law, up to 6 years.
